Field tasks
Supervisors create tasks for sites, projects and dates and assign them. Collectors see their own tasks on the phone, and a changed task is flagged until they have read it.
Sample Collection module
From the field to the laboratory, with custody intact.
VectorBio Sample Collection organises mosquito field collection: the office plans and assigns the work, collectors record their visits on a phone, and samples travel to a laboratory in labelled containers with a recorded chain of custody.
A separate module
Sample Collection has its own licence and its own seats. A Collection seat gives no Laboratory access, and a Laboratory seat gives no Collection access. It is not a bioassay method and adds no analysis to the Laboratory module.
What the module covers
Crews, labour and equipment
Record crews, working and travel time, equipment issued and returned, and consumables used. A readiness checklist shows what a task still needs before departure.
Location captured in the app
A collector captures the current position from inside the form, with its accuracy and time. A position that is refused, unavailable or inaccurate is recorded as such and never invented.
Connected, and resilient when the signal drops
Work is sent over mobile data or Wi-Fi. If the connection drops, assigned tasks, their procedures and drafts stay on the phone and are sent when it returns, with a clear status for every record.
Labels and custody
Containers carry printed labels with a reference and a QR code. Packing, dispatch, transport and receipt are recorded, and a difference between what was packed and what was recorded is shown before dispatch.
Controlled laboratory handover
Companies connect by mutual agreement. Requests can go in either direction, and the receiving laboratory sees only what was shared in that handover.
How a collection day works
Plan
The office plans sites, tasks and crews and links the procedures to follow.
Collect
Collectors open their tasks, record the visit, catches, containers and photos, and capture the position.
Review
A supervisor reviews each submitted visit and accepts it or returns it with a reason.
Hand over
Containers are packed, dispatched with a manifest and received by the laboratory, with custody recorded at each step.
Roles
The Workspace Owner or an Admin gives each person a Collection seat with one role.

Exports
Export the samples of a project, the unassigned samples or all samples as CSV, XLSX, JSON or PDF. Exports show site names unless exact positions are chosen, and every export is recorded.

Phones and connection
- The field app runs in the web browser of a phone or tablet; nothing is installed from an app store.
- Work waits on the device until it is sent. Use a current browser and keep some storage free.
- Clearing the browser's data, removing the browser or losing the phone before work is sent can lose that work. VectorBio cannot reach or delete data on a disconnected device.
- There are no maps in this release: positions are shown as coordinates with their accuracy.
Locations and photos
- A position is captured only when a collector asks for it in the form.
- Positions and photos stay in your Workspace. Photos are opened through links that expire after a short time.
- A partner laboratory receives only what you include in a handover.
- Exports include exact positions only when you choose them.
